Administrative Specialist
Responsibilities:- Manage the day-to-day administrative operations of our office.
- Oversee procurement and inventory management of office supplies and assets.
- Build strong relationships with external vendors, service providers, and building management teams.
- Evaluate and maintain a well-functioning facilities, equipment, and utilities infrastructure.
- Establish accurate records of bills, payments, petty cash, and vendor contracts.
- Coordinate company travel arrangements, accommodations, and meeting logistics effectively.
- Maintain accurate documentation and filing systems in both physical and digital formats.
- Support HR functions with onboarding/offboarding processes, employee attendance, and leave tracking procedures.
- Ensure compliance with established policies and support internal audits.
- Supervise housekeeping duties to maintain a clean and professional work environment.
- Provide logistical support to internal teams for events, trainings, or reviews.
- Graduate degree in any discipline (Bachelor's degree required).
- 3–5 years of experience in office administration or operations.
- Proficiency in MS Office Suite (Word, Excel, Outlook).
- Strong organizational, coordination, and communication skills.
- Excellent problem-solving abilities and attention to detail.
- Ability to handle confidential information with discretion.
- Experience working with finance, HR, or compliance teams is beneficial.
- Familiarity with budgeting principles and vendor negotiations.
- Awareness of office management software or ERP systems.
- Comfortable working in fast-paced, deadline-driven environments.
- Bachelor's degree or equivalent experience.
- Strong interpersonal, customer service, and communication skills.
- Ability to multitask efficiently.
