Job Title: Executive Support Specialist
About the Role:
The Executive Support Specialist is a high-level administrative professional responsible for providing exceptional support to senior executives. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities:
- Administrative Support: Provide comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, coordinating travel arrangements, and submitting expenses.
- Communication: Serve as the primary point of contact between senior executives and internal/external stakeholders. Handle correspondence, emails, and phone calls with professionalism and confidentiality.
- Event Planning: Plan, coordinate, and manage corporate events, conferences, and board meetings. Offsite and team-building activities. Handle logistics, corporate gifting, and incentive trips to ensure successful execution.
- Research and Analysis: Conduct research and provide insights on various topics as requested by senior executives. Compile data and create reports to support decision-making.
- Meeting Coordination: Prepare agendas, take minutes, and follow up on action items for meetings. Ensure senior executives are well-prepared for all engagements.
- Project Management: Assist in the planning and execution of special projects and initiatives. Track progress and ensure deadlines are met.
- Maintain Confidentiality: Maintain the highest level of confidentiality and discretion in handling sensitive information.
- Travel: Open to travel in short notice for business purposes.
Qualifications, Education, Knowledge, Experience:
- Bachelor's degree in business administration, communications, hospitality management, or hotel management preferred.
- Minimum of 6+ years of experience as an executive assistant or in a similar role supporting senior executives.
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Proven experience in planning and managing regional events.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High level of professionalism and discretion.
- Strong problem-solving skills and attention to detail.
