Lead Event Coordinator

The ideal candidate will collaborate with our international team to develop innovative MICE proposals, driving sales growth and meeting client expectations. This role requires a self-starter with excellent negotiation skills, creativity, and the ability to multitask multiple projects simultaneously.

Key Responsibilities:
  • Maintain relationships with key MICE generating accounts through face-to-face sales calls, telephone calls, site inspections, and entertainment.
  • Respond to RFP's/Queries in a timely manner using standardized MICE proposal templates.
  • Meet annual sales targets while collaborating with business leads.
  • Share client contacts for potential business opportunities.
Research & Development of MICE Products:
  • Conduct comprehensive research on new and existing products for adaptation into the MICE market.
  • Develop new proposed packages and teambuilding options, working closely with the respective team to create unique experiences for clients.
  • Build a preferred list of MICE hotels, venues, DMCs & suppliers, and airline consolidators to streamline procurement requirements.
  • Lead the creation of tour scripts to ensure accurate storytelling of new products.
  • Perform competitor analysis and benchmarking to maintain up-to-date knowledge of properties' unique selling points, features, amenities, services, and policies.
System Management:
  • Provide daily updates on tasks and projects to the MICE head and branch head.
  • Ensure new products and proposals are created accurately and within guidelines set by Team Lead.
  • Collaborate with CS team members to update new and adapted MICE products.
  • Coordinate with purchasing/branch managers for correct data uploading.
  • Manage templates and ensure correspondence with MICE department brand guidelines.
  • Continuously work towards improving systems and templates for efficient team training and creating exceptional client proposals.
  • Maintain and update lists of hotels, DMCs, vehicle service providers, airlines consolidators, tourism boards, and catering details as per company standards.
Event Logistics:
  • Collaborate with local and destination operational teams to ensure clear operational plans as per itinerary promised to the client.
  • Create guidelines, manuals, and scripts for operational staff supporting MICE events.
  • Monitor performance of hotels and suppliers in assigned destinations and report back to Regional MICE Manager on necessary actions.
  • Handle pressure situations professionally and ensure deliverables meet client expectations.
  • Support the team in logistics requirements for large events, including ticket bookings, visa issuance process, hotel bookings.
  • Communicate final event details to Sales Manager - MICE for contract preparation and obtain client approval promptly.
  • Collect client feedback after each event via verbal and written means, communicating outcomes to concerned parties.
  • Follow up on previous walkarounds to prevent recurring issues.
  • Ensure all work during events is performed safely.
Skills & Qualifications:

A bachelor's degree or higher in hospitality or a related field is required. A minimum of 10-12 years of experience in MICE within the industry is also mandatory. Personal and professional travel experience is an asset. Knowledge of hotels brands and destinations in the portfolio is essential.
