Job Overview:
As a Front Desk Operations Manager, you will play a vital role in ensuring seamless daily operations at the front office. Your primary responsibility will be to manage and oversee various administrative tasks, including but not limited to, reception services, internal and external communication, canteen management, housekeeping, security operations, and human resources administration.
Key Responsibilities:
- Manage front office operations, ensuring efficient receipt and transfer of calls to relevant personnel.
- Provide updates on internal and external matters as necessary.
- Maintain accurate records of daily administrative tasks, including canteen, housekeeping, and security operations.
- Prepare and present HR and admin-related data, such as overtime canteen details.
- Perform various HR and admin tasks as required.
- Ensure timely arrangement of appointments, activities, and schedules.
- Oversee front office supplies and inventory management.
- Coordinate guest and visitor management.
Pantry Management:
- Ensure proper stock levels for pantry items like tea, coffee, sugar, and biscuits.
- Monitor crockery items in the pantry, including mugs, cups, and guest lunch sets.
- Verify chocolate stock against WoW cards.
- Supervise the office boy's daily work during guest visits and in the office.
- Verify tea invoices monthly.
Courier Management:
- Regularly maintain courier entries in registers and send to parties.
- Distribute couriers to the relevant person and keep accurate records.
- Verify courier invoices monthly.
- Provide courier details as needed.
- Resolve any issues related to couriers.
Library Management:
- Maintain library registers and issue books to employees.
- Send reminders after due dates.
- Motivate employees to engage with reading materials.
Requirements:
- At least 1 year of experience in administration, reception, or similar roles.
- Proficient in English communication (speaking and writing).
