
Administrative Operations Specialist

The role of Administrative Operations Specialist is a key position within an organization, responsible for managing day-to-day administrative operations.
- Manage procurement and inventory of office supplies and assets to ensure seamless operation.
- Coordinate with external vendors, service providers, and building management to maintain relationships and resolve issues promptly.
- Oversee the maintenance of facilities, equipment, and utilities to ensure smooth functioning.
- Monitor records of bills, payments, petty cash, and vendor contracts to maintain accurate documentation.
- Coordinate company travel, accommodations, and meeting logistics to support business objectives.
- Maintain accurate and up-to-date documentation and filing systems (physical & digital) to ensure compliance and efficiency.
- Collaborate with HR to facilitate onboarding/offboarding, employee attendance, and leave tracking processes.
- Ensure adherence to company policies and procedures, supporting internal audits as required.
- Supervise housekeeping and maintain a clean and professional office environment.
- Provide logistical support for events, trainings, or reviews to internal teams.
Requirements:
To succeed in this role, you should possess a graduate degree in any discipline and 3–5 years of proven experience in office administration or operations.
- Proficient in MS Office Suite (Word, Excel, Outlook)
- Excellent organizational, coordination, and communication skills
- Strong problem-solving abilities and attention to detail
- Ability to handle confidential information with discretion
Preferred Skills:
We seek individuals with basic knowledge of budgeting and vendor negotiations, familiarity with office management software or ERP systems, and comfort working in a fast-paced and deadline-driven environment.
Qualifications:
- Bachelor's degree or equivalent experience
- Strong interpersonal, customer service, and communication skills
