**Job Description: Personal Office Assistant**

**Key Responsibilities**:
**1. Scheduling & Calendar Management**:

- Coordinate and schedule personal and professional meetings.
- Manage daily, weekly, and monthly calendars effectively.
- Send reminders and manage follow-ups.

**2. Communication Management**:

- Handle incoming calls and route them appropriately.
- Prepare and send newsletters, promotional materials, and updates.

**3. Content Management & Research**:

- Conduct research and outline content for webinars, podcasts, and workshops.
- Edit and manage content uploads on social media, websites, and other platforms.
- Ensure accuracy and timeliness of content distribution.

**4. Client Management & CRM**:

- Draft NDAs, mandates, and other essential documents.
- Archive and manage all documentation systematically.
- Use CRM tools to track leads, manage contacts, and improve client engagement.

**5. Marketing & Promotion**:

- Handle social media accounts: scheduling posts, engaging with followers, and tracking performance.
- Create and edit promotional materials, videos, and graphics using Canva and other tools.
- Coordinate marketing campaigns and assist with lead generation.

**6. Pre-Sales & Lead Generation**:

- Conduct pre-sales calls to potential clients.
- Maintain and update lead generation databases.

**7. Business Operations & Finance**:

- Prepare and send invoices, track payments, and compile expense reports.
- Manage weekly and monthly financial records in Excel.
- Coordinate with vendors, team members, and accounts for timely GST and MIS reporting.

**Desirable Qualities**:

- High level of common sense and basic intelligence.
- Proactive, solution-oriented mindset with strong organizational skills.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize in a dynamic work environment.

**Technical Skills**:

- **Administrative Tools**: Google Suite (Gmail, Google Drive, Google Calendar).
- **Marketing Tools**: LinkedIn Navigator, Mailchimp, Canva, Social media management platforms.
- **Video Editing**: Basic video creation and editing skills (e.g., Adobe Premiere, Canva).
- **Project Management**: Experience with tools like Trello or Asana.
- **Finance & Reports**: Basic Excel, online invoice systems, and expense tracking.
- **Content Tools**: Podcast hosting platforms, webinar tools like Zoom/Webex.

**Preferred Qualifications**:

- Background in lead generation, pre-sales, and client relationship management.
- Familiarity with bookkeeping and financial report compilation.
- Creativity in designing promotional materials and engaging content.

**Soft Skills**:

- Adaptability and ability to learn quickly.
- Strong interpersonal and collaborative skills.
- Detail-oriented and committed to maintaining confidentiality.
