**Job Title: Administrative Assistant**
**Job Summary**:
The Administrative Assistant plays a vital role in ensuring smooth daily operations within the organization. This position involves providing comprehensive administrative support, managing office tasks, and assisting with various projects.
**Responsibilities**:
- Provides administrative support to ensure efficient office operations.
- Maintains physical and digital filing systems.
- Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.
- Manages calendars for senior staff, including making travel arrangements.
- Drafts and edits letters, reports, and other documents.
- Inputs and updates information in databases and spreadsheets.
- Prepares meeting agendas and takes meeting minutes.
- Uses word processing and presentation software to create and edit documents.
- Operates and maintains office equipment, including printers, copiers, and fax machines.
- Works with maintenance staff and outside vendors to ensure office equipment is in good working order and office supplies are always on hand.
- Works closely with other administrative staff and supports other colleagues as needed.
- Communicate and enforce HR policies and procedures.
- Maintain and update employee records, including personal information, attendance, leaves, and other relevant details.
- Maintain HR documentation, including job descriptions, organizational charts, and employee handbooks.
- Assist in the recruitment process, including posting job openings, scheduling interviews, and conducting background checks.
- Maintain recruitment-related records.
- Proven experience as an Administrative Assistant or Office Admin Assistant.
- High school diploma or equivalent; additional education or certifications are a plus.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task.
