Administration Officer

**General Administration**
a. Guide the front office on how to handle the telephone, direct calls, and takes messages.
b. Writes reports and correspondence.
c. Orders office supplies and equipment.
d. Makes sure equipment is in working order.
e. Writes and distributes meeting agendas.
f. Attends meetings and takes detailed notes.
g. Provides front desk coverage as needed.
h. Arrange travel arrangements and hotel accommodations for staff.
i. Arrange accommodations for employees.
j. Files expense reports for executives and maintains Petty cash.
k. Handles mileage reimbursement requests.
l. Maintains accounts payable and accounts receivable records.
m. Solves vendor issues regarding shipments, billing, and statements.
n. Receives and audits invoices for accuracy and compliance and ensures prompt payment of departmental bills.
o. Handles event planning for meetings, professional development, and other departmental initiatives.
p. Performs other related duties as needed.
- **Health And Safety**
a. Develop, implement and maintain strategies, plans and procedures to protect employees, property and facilities from workplace health and safety hazards.
b. Assess workplace hazards and risks and recommend appropriate measures to mitigate them.
c. Conduct regular inspections and audits to identify potential safety issues and ensure compliance with established safety protocols.
d. Investigate incidents and accidents, determine root causes and implement corrective actions to prevent recurrence.
e. Provide regular safety training sessions and organise impactful safety campaigns to promote awareness.
f. Maintain accurate records and documentation for safety inspections, incidents and training.
g. Monitor and evaluate the effectiveness of safety strategies, plans and procedures, and adjust as needed.
h. Provide guidance and support to management and employees on safety-related matters.
i. Stay updated about emerging safety trends, regulations and best practices to ensure continuous improvement.
- **FG & Inventory Control Management**
a. Proper Monitoring & Control of daily material Inward / Outward activities.
b. Coordinating with Stores & Sales Department on Certification & Verification of all billing Actual Vs Receipts & E- invoice / E-waybill Documents before Dispatching
c. Buyers Visits & Support
- **Security Management**
a. Supervise daily security team operations, ensuring efficient task completion.
b. Devise and enforce security policies and procedures to safeguard the organization and its assets.
c. Perform routine security assessments to identify and address potential risks and vulnerabilities, crafting strategies for risk reduction.
d. Monitor surveillance and alarm systems, swiftly responding to security breaches or incidents.
e. Liaise with law enforcement, emergency services, and relevant stakeholders during security emergencies.
f. Educate and train security personnel on protocols and emergency response plans.
g. Regularly inspect security equipment (CCTV, access control, alarms) to ensure proper functioning and upkeep.
h. Investigate security incidents, accidents, and breaches, preparing comprehensive reports with improvement recommendations.
i. Collaborate across departments to integrate security measures into all operational facets, including events, facility management, and employee safety.
j. Stay abreast of evolving security trends, technologies, and regulations, providing recommendations for system and procedural enhancements.
- **House Keeping Management**
a. Maintain over all Housekeeping activities like floor cleaning, Facilities Utilities, pantry’s, Dining, parking, Drainage etc.
b. Maintain all guidelines as per company standard, Uniform, Visitors Handling, Buyer Visits, all types of waste control, Pest control.
c. Periodical Cleaning of Windows, Roofs ,Water Tank, Spectic tank cleaning, Drainage cleaning etc
d. Utility Check List / Stocks maintenance / Metro Purchase / Control of HK employees Shift allotments / Chindi dividing.
e. Drinking water and Control on Water / Food.
f. Maintain factory discipline
Pay: ₹20,000.00 - ₹30,000.00 per month
