- Minimum Job Requirements- Educational Qualification:
- Graduate with Diploma in Secretarial Practice or Office Management- Experience:
- Minimum 2- 3 years in similar role- Any additional requirement:
- MS-OFFICE with special emphasis on Advanced Excel and MS-Outlook- Purpose of the Position (Job Summary)- The incumbent should have through knowledge Secretarial Practice and CMD Office Management- He or She Should speak and understand English & Hindi fluently.- Key Roles and Responsibilities- Financial**Travel**
- To coordinate and confirm all travel arrangement of reporting manager and external visitor within budget parameter.
- To provide detailed itinerary as required.
- To ensure approvals for travel and accommodation have been obtained prior to completion of bookings.
- To negotiate travel supply arrangements with agency or agencies and liaise to ensure service levels are maintained.
- Customer Oriented**Guest Service**
- To ensure Guest Hospitality as required.
- To assist clients in a professional and courteous manner.
- To maintain corporate hospitality including conference room and reporting manager’s office.
- People Oriented**Inter & Intra -departmental Coordination**
- To compile data for from Various Units and departments for creation of MIS, Budget, and various analytical and decision making reports.
- To coordinates in variety of program and/or activities with multiple stakeholders.
- To manage the calendars of reporting manager for the purpose of scheduling time and meeting responsibilities as needed
- Internal Business Process**Secretarial/Administration**
- To manage reporting manager’s schedule and update diary accordingly.
- To co-ordinate internal and external meetings involving reporting managers and others HOD's as & when required (including arrangement of refreshments etc) and provide necessary follow up.
- Competencies- Technical/Functional- Behavioral- Key Result Areas- Quantitative- Qualitative- 100% adherence in prompt response to all Director's/HOD's/VP's/Plant Head's call
- Zero conflicts /Overlapping in meetings
- 100% adherence to the budget
- Travel Arrangement must be confirmed 7days prior to actual travel
- Robust follow-up to ensure that 95% of the meeting should start on time.
- 100% of the files to be kept sequentially and register of file handover must be kept audit ready at all times.
- Documents should be prepared at an accuracy level of 90% to minimize re-working.
