**Job Title**: Front Office Assistant
**Job Summary**:
**Key Responsibilities**:
- **Reception Duties**: Greet and welcome visitors, clients, and employees in a professional and friendly manner.
- **Telephone Handling**: Answer, screen, and forward incoming phone calls while providing basic information when needed.
- **Visitor Management**: Maintain a visitor logbook and ensure proper visitor badges are issued.
- **Mail Handling**: Receive, sort, and distribute incoming mail and deliveries. Prepare outgoing mail and packages.
- **Scheduling**: Assist in scheduling and coordinating appointments, meetings, and conference room bookings.
- **Administrative Support**: Provide general administrative and clerical support, including data entry, copying, faxing, and filing.
- **Customer Service**: Respond to customer inquiries and provide information about the company’s services and offerings.
- **Office Supplies Management**: Monitor and maintain office supplies inventory, placing orders as necessary.
- **Cleanliness and Organization**: Ensure the front office area is tidy and presentable, with all necessary materials available (e.g., pens, forms, brochures).
- **Support for Staff**: Assist other departments with administrative tasks and special projects as needed.
- **Security**: Follow procedures for security by monitoring logbooks and issuing visitor badges.
**Qualifications**:
- **Education**: High school diploma or equivalent. Additional certification in Office Management is a plus.
- **Experience**: Proven work experience as a Front Office Assistant, Receptionist, or similar role.
- **Technical Skills**: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., printers, fax machines).
- **Communication Skills**: Excellent verbal and written communication skills.
- **Interpersonal Skills**: Strong customer service and interpersonal skills.
- **Organizational Skills**: Exceptional organizational and multitasking abilities.
- **Professional Appearance**: Professional appearance and demeanor.
- **Problem-Solving Skills**: Ability to handle unforeseen situations effectively and efficiently.
- **Reliability**: Dependable with a strong work ethic and punctuality.
**Working Conditions**:
- This position typically operates in an office environment.
- Occasional lifting of office supplies and materials may be required.
Pay: ₹8,086.00 - ₹15,000.00 per month
