Title: Front Office Assistant

Department: Administration

Reports To: Office Manager/Dean of Administration

Summary:
The Front Office Assistant serves as the first point of contact for students, faculty, staff, and visitors. This role requires excellent communication skills, a friendly and professional demeanor, and the ability to manage multiple tasks efficiently. The Front Office Assistant supports the administrative functions of the college and ensures smooth operation of front desk activities.

Key Responsibilities:

- Reception Duties:

- Greet and assist students, faculty, staff, and visitors in a courteous and professional manner.
- Answer, screen, and direct incoming phone calls to the appropriate departments.
- Administrative Support:

- Assist with clerical tasks such as data entry, filing, photocopying, and scanning documents.
- Schedule appointments and maintain calendars for staff and faculty as needed.
- Prepare and distribute memos, letters, and other correspondence.
- Assist in the preparation and organization of college events and meetings.
- Office Coordination:

- Maintain a tidy and organized front desk and lobby area.
- Manage inventory of office supplies and place orders as necessary.
- Coordinate with maintenance and IT departments for facility and equipment issues.
- Record Keeping:

- Update and maintain student and staff records in the college database.
- Handle confidential information with discretion and in compliance with college policies.
- Assist with the enrollment and registration processes.
- Customer Service:

- Provide exceptional customer service to all visitors and callers.
- Handle complaints and issues in a professional manner, escalating to the appropriate personnel when necessary.
- Provide campus tours for prospective students and visitors.

Qualifications:

- High school diploma or equivalent; Associate’s degree or relevant certification preferred.
- Previous experience in a front office or administrative role, preferably in an educational setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to work independently and as part of a team.
- Professional appearance and demeanor.

Working Conditions:

- This position typically operates in an office environment with a standard workweek.
- May occasionally require lifting and carrying office supplies or equipment.

Application Process:
Pay: ₹15,000.00 - ₹20,000.00 per month
