**Position Overview**:
**Key Responsibilities**:
**Greet and Welcome Visitors**: Warmly welcome all visitors, clients, and guests as they arrive at the front office. Provide assistance and direction as needed.

**Answer and Direct Phone Calls**: Manage incoming phone calls promptly and professionally. Direct calls to appropriate individuals or departments and take messages when necessary.

**Manage Reception Area**: Maintain a clean and organized reception area. Ensure magazines, brochures, and other materials are neatly displayed.

**Schedule Appointments**: Coordinate appointments and meetings for staff members. Update calendars and schedule meeting rooms as required.

**Handle Incoming and Outgoing Mail**: Sort and distribute incoming mail. Prepare outgoing mail and packages for pickup or courier services.

**Assist with Administrative Tasks**: Provide administrative support to various departments as needed, including data entry, filing, and document preparation.

**Respond to Inquiries**: Address inquiries from clients, visitors, and staff members courteously and efficiently. Provide information or direct inquiries to the appropriate person.

**Maintain Security Protocol**: Monitor access to the premises and ensure security procedures are followed. Issue visitor badges and maintain visitor logs.

**Manage Office Supplies**: Monitor inventory levels of office supplies and place orders as needed. Ensure office supplies are stocked and readily available.

**Qualifications**:
High school diploma or equivalent; additional qualifications in office administration or related field is a plus.

Proven experience in a customer service or front office role.

Excellent communication skills, both verbal and written.

Proficient in Microsoft Office Suite (Word, Excel).

Strong organizational and multitasking abilities.

Ability to maintain a professional demeanor and positive attitude under pressure.

Attention to detail and accuracy in all tasks.

Ability to work independently with mínimal supervision.

Familiarity with office equipment such as printers, copiers, and fax machines.
