**Job Purpose**:
The position is responsible for organising all of the administrative activities that facilitate the smooth running of the commercial by department providing secretarial and administrative support to ensure organizational effectiveness and efficiency.

**Primary Responsibilities**:
**1**st** primary responsibilities**
- Locates and attaches appropriate file correspondence and upkeep of all private and confidential matters related to the department
- Completes operational requirements by scheduling and assigning employees; following up on work results.
- Contributes to team effort by accomplishing related results as needed.
- Set up a systematic and efficient filing system, both for hard files as well as all electronic data, that enables quick retrieval. Ensure all files are kept up to date at all times
- Prepare the relevant materials for all meetings attended by the Head oF commercial and Director of Technical Services.
- Prepares outgoing mail
- Type, take dictation and minutes, draft letters, file and trace, compose correspondence
- Arranging travel, meetings and appointments
**2**nd** primary responsibilities**
- Organize office operations and procedures
- Liaise with other agencies, organizations and groups
- Ensure protection and security of files and records
- Orient and train employees when required
- Partner with Talent & Culture to maintain office policies as necessary
**3**rd** primary responsibilities**
- Maintains timekeeping records and schedules
- Maintain organized files
**Other Responsibilities**
- Attends and contributes to all Meetings as required
- Provide a courteous and professional service at all times
- Handle guest and employee enquiries, reporting complaints or problems if no immediate solution can be found, whilst feeding back a prompt follow up.
**Main Complexity/Critical issues in the Job**
- Prioritizing the job in hand based on the urgency and completing it at the stipulated time.
- Major challenge being liaising with internal departments and follow up to complete the work.
- Managing the workload is one of the biggest challenges. Conflicting priorities among executives can make feel fragmented, especially when last-minute changes occur.
- Often encountered the unexpected visitors/ colleagues that can causes time constraints to the day to day activities especially if you have urgent tasks to complete..
