Executive Assistant

**Key Responsibilities**
- **Calendar Management**: Maintain and manage the CEO’s schedule, including scheduling appointments, meetings, conferences, and travel arrangements.
- **Meeting Coordination**: Prepare agendas, materials, and minutes for executive meetings. Follow up on action items and ensure timely execution of decisions.
- **Travel Arrangements**: Plan and coordinate domestic and international travel, including booking flights, accommodations, and transportation. Prepare detailed itineraries and travel briefs.
- **Project Management**: Assist the CEO with the execution of special projects, including tracking progress, ensuring deadlines are met, and coordinating with various departments.
- **Document Management**: Organize and maintain files, records, and documents, both electronic and physical. Ensure data accuracy and confidentiality.
- **Relationship Management**: Build and maintain relationships with key stakeholders, clients, and partners. Facilitate communication between the CEO and other executives, employees, and external partners.
- **Event Planning**: Assist in planning and coordinating events, conferences, and team off-sites, ensuring logistics and details are flawlessly executed.
- **Problem-Solving**: Anticipate the CEO's needs and proactively manage issues before they arise. Be resourceful in resolving problems independently.
- **Collaboration**:Liaise with central Group HQ, Managing Directors, Board, and co-workers.

**Qualifications**:
- **Education**: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- **Technical Skills**: Proficient in Microsoft Office Suite (SharePoint, Word, Excel, PowerPoint, Outlook). Experience with scheduling software and project management tools is a plus.
- **Communication Skills**: Excellent verbal and written communication skills. Ability to draft high-quality correspondence and presentations. Must be proactive
- **Time Management**: Exceptional organizational skills with a keen attention to detail. Ability to prioritize tasks and manage multiple projects simultaneously.
- **Confidentiality**: Must handle sensitive information with the utmost discretion.
- **Interpersonal Skills**: Strong interpersonal skills with the ability to build relationships across all levels of the organization.
