Front Office Assistant

**Job Overview**:
We are looking for a welcoming and organized Front Office Executive to be the face of our event management company. This role requires excellent customer service skills, a friendly demeanor, and the ability to manage multiple tasks efficiently. The Front Office Executive will be responsible for managing client interactions, supporting the sales team, and ensuring a seamless experience for all visitors and clients.
**Key Responsibilities**:
- **Client Reception**:
- Greet and welcome clients, guests, and visitors with professionalism and warmth.
- **Scheduling and Coordination**:
- Schedule and confirm appointments and meetings for the sales and event management teams.
- Assist in organizing meetings, conferences, and client visits, including preparation of necessary materials.
- **Administrative Support**:
- Maintain and update client records in the company database.
- Handle basic clerical tasks, such as filing, scanning, and document preparation.
- Support the sales team with administrative tasks related to proposals, contracts, and client follow-ups.
- **Customer Interaction**:
- Address client queries and concerns with clarity and efficiency, ensuring a positive client experience.
- Gather feedback from clients to help the team improve services and processes.
- **Office Management**:
- Manage the reception area to ensure it is tidy, professional, and welcoming.
- Oversee office supplies and coordinate with vendors for necessary purchases.
- **Support Sales and Event Teams**:
- Coordinate with the sales team to facilitate client onboarding and follow-up procedures.
- Work closely with the event management team to pass on client information and requirements.
**Key Skills and Qualifications**:
- **Experience**: Minimum 1- 2 years in front office or similar roles, preferably in the event management industry.
- **Communication**: Excellent verbal and written communication skills.
- **Customer Service**: Strong interpersonal skills with a client-focused approach.
- **Organization**: Ability to manage multiple tasks efficiently and prioritize workload.
- **Tech-Savvy**: Proficient in using Microsoft Office Suite and other office management tools.
- **Problem Solving**: Quick thinking and the ability to handle challenges calmly.
- **Team Player**: Collaborative spirit and a proactive attitude to support team objectives.
**Preferred Qualifications**:
- Bachelor's degree in Business Administration, Hospitality, or a related field.
- Knowledge of the event management industry and familiarity with CRM systems.
- Previous experience in a customer-facing role with a strong focus on building client relationships.
