Medical Front Office Assistant

Job Description for medical front office assistant:
- **Patient Check-In and Check-Out**: Greet patients as they arrive, check them in for appointments, verify their demographic and insurance information, and collect necessary paperwork. Upon completion of appointments, assist patients with check-out procedures, schedule follow-up appointments, and collect payments or copays.
- **Appointment Scheduling**: Coordinate and schedule patient appointments, either in person, over the phone, or through electronic scheduling systems. Arrange appointments based on patients' availability, healthcare provider schedules, and urgency of medical needs.
- **Insurance Verification and Billing**: Verify patients' insurance coverage, obtain pre-authorizations for procedures or treatments as necessary, and ensure accurate billing information. Assist patients with insurance-related inquiries, explain coverage details, and help resolve billing discrepancies or issues.
- **Medical Records Management**: Maintain electronic and paper medical records for patients, ensuring confidentiality and compliance with privacy regulations (such as HIPAA). Retrieve and file medical records as needed, and assist healthcare providers with accessing patient information during appointments.
- **Patient Intake and Triage**: Collect patient medical history, chief complaints, and vital signs as part of the intake process. Prioritize patient needs based on urgency and severity of symptoms, and direct patients to the appropriate healthcare provider or department for further evaluation and treatment.
- **Supply Management**: Monitor inventory levels of office supplies, forms, and patient education materials. Place orders for supplies as needed, ensure timely delivery, and organize storage areas to maintain a clean and orderly workspace.
- **Patient Education and Support**: Provide patients with information about office policies, procedures, and available services. Offer assistance and guidance to patients navigating the healthcare system, including referrals to specialists, scheduling diagnostic tests, or accessing financial assistance programs.
- **Team Collaboration**: Collaborate with other members of the healthcare team, including physicians, nurses, medical assistants, and administrative staff, to ensure coordinated patient care and efficient workflow. Communicate effectively with colleagues to address patient needs and resolve operational issues.
- **Quality Improvement and Compliance**: Participate in quality improvement initiatives aimed at enhancing patient satisfaction, optimizing office processes, and ensuring compliance with regulatory standards. Adhere to established protocols and procedures to maintain a safe and welcoming environment for patients and staff.
