Job Overview:
The Assistant Sales/Community Manager will support all aspects of sales and customer interactions at the coworking space. This role involves engaging with customers through walk-ins and calls, managing site operations, and collaborating with different departments to ensure efficient space management. The role will also focus on invoicing, updating customer agreements, and using tools like Monday.com to manage and track sales activities.
Key Responsibilities:
1. Sales and Customer Interaction:
Assist in conducting walk-in tours for prospective clients and showcase the coworking space.
Make calls to prospective clients and follow up with existing customers to drive sales.
Help convert inquiries into successful sales by fostering relationships and following up diligently.
Support the Sales/Community Manager in ensuring customer satisfaction by addressing queries and offering package solutions.
2. Site Management:
Help oversee the coworking space’s daily operations to ensure smooth functioning.
Ensure the space remains clean, functional, and secure at all times.
Work with the admin team to manage site-related issues, maintenance, and utilities.
Serve as a backup point of contact for customers regarding space usage and allocations.
3. Payment and Invoicing:
Assist with following up on customer payments to ensure timely collection.
Coordinate with the accounts team to generate and track invoices.
Help maintain accurate payment records and resolve discrepancies with accounts.
4. Agreement Management:
Prepare and assist in managing customer agreements, ensuring all terms are clearly outlined.
Help update and store customer agreements within Monday.com, ensuring all changes are documented.
5. Customer Relationship Management:
Assist in building and maintaining long-term relationships with customers.
Help organize community events and networking sessions to foster a collaborative coworking environment.
Ensure customers are aware of all available coworking resources and amenities.
6. Administrative Collaboration:
Monitor the admin team’s performance and ensure timely services are delivered.
Work with the admin team to resolve any operational challenges at the coworking site.
7. Sales Reporting and Monitoring:
Help track and update sales activities and customer interactions in Monday.com.
Assist with generating regular reports on lead conversion, sales progress, and overall performance.
Support the analysis of sales data to recommend improvements to the sales process.
Required Skills and Qualifications:
• Education: Bachelor’s degree in Business Administration, Marketing, Hospitality, or a related field.
• Experience: Minimum of 2-3 years of experience in sales, customer service, or community management, preferably in a coworking or hospitality environment.
• Strong communication and interpersonal skills.
• Proficiency with CRM tools (e.g., Monday.com), MS Office Suite, and invoicing software.
• Excellent organizational skills and attention to detail.
• Ability to multitask and work efficiently in a fast-paced environment.
• Strong collaboration skills to work effectively with different departments.
Preferred Qualifications:
• Experience in coworking or shared office space.
• Problem-solving skills with a customer-first approach.
• Ability to handle confidential information with professionalism and discretion.
