Role Overview:

As an Administrative Assistant, you will play a crucial role in streamlining operations, managing communications, and assisting in various administrative and organisational tasks. This role requires someone with hands-on experience, excellent communication skills, and the ability to multitask effectively.

Key Responsibilities:

Communication & Calendar Management

Email & Call Management: Monitor, filter, and respond to emails promptly; schedule and handle calls professionally.

Calendar & Meeting Coordination: Manage the boss's calendar, set up appointments, schedule meetings, and send reminders.

Follow-ups & Reminders: Ensure tasks, meetings, and important deadlines are met through structured follow-ups.

Client & Vendor Coordination: Liaise with clients, vendors, and stakeholders, maintaining professionalism in all interactions.

Social Media & Online Presence Management

LinkedIn & Social Media Handling: Manage LinkedIn connections, messages, and content posting as required.

Engagement & Networking: Proactively engage with prospects, clients, and business connections on LinkedIn.

Research & Reports: Assist in researching trends, competitors, and business prospects for strategic decision-making.

Documentation & Filing

Document Organisation: Maintain and manage essential documents, contracts, and reports in a structured manner.

Filing & Record Keeping: Keep track of important files, business records, and confidential data.

Minutes of Meetings: Take detailed notes during meetings and circulate summaries with actionable items.

Data Entry & Accuracy: Ensure data accuracy while maintaining company records and databases.

Business & Operational Support

Proposal & Presentation Creation: Assist in drafting business proposals, presentations, and reports.

Basic Financial Assistance: Support in managing invoices, expense tracking, and payment follow-ups.

Travel & Logistics Arrangements: Book flights, accommodations, and transportation for the boss as needed.

Project Assistance: Support in planning, coordinating, and executing various business initiatives.

Process Improvement: Suggest ways to enhance efficiency and productivity in day-to-day operations.

Highly Organised & Detail-Oriented – You keep track of multiple tasks efficiently.

Strong Communicator – You can handle professional emails, calls, and LinkedIn interactions confidently.

Proactive & Reliable – You anticipate needs and take initiative without waiting for instructions.

Tech-savvy – Comfortable using Microsoft Office (Word, Excel, PowerPoint), Google Workspace, LinkedIn, and other admin tools.

Experienced in Admin & Operations – At least 2+ years of experience in a similar administrative role.

Flexible & Adaptable – Able to work with a UK-based team and adjust to different time zones when necessary.
