Job Title: Administrative Assistant 

Responsibilities: 

∙Email Management: Organize and respond to emails, flag important messages, and ensure timely follow-

ups. 

∙Data Entry & Record Keeping: Maintain accurate records, input data into spreadsheets or CRM software, 

and ensure information is up to date. 

∙Scheduling & Coordination: Schedule meetings, appointments, and calls while managing calendars 

efficiently. 

∙Follow-ups & Reminders: Track pending tasks, follow up with team members, clients, and vendors, and 

ensure deadlines are met. 

∙Document Management: Organize, update, and manage company documents, reports, and presentations. 

∙CRM Management: Update and maintain customer/client records in the CRM system. 

∙Basic Research: Conduct research on industry trends, competitors, and vendors as needed. 

∙Administrative Support: Assist with general office tasks, including preparing reports, creating 

spreadsheets, and handling correspondence. 

∙Using AI Tools (e.g., ChatGPT): Utilize AI tools to draft emails, generate reports, and streamline 

communication processes. 

Qualifications: 

∙Experience: 1+ years in an administrative or assistant role preferred. 

∙Tech-Savvy: Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and CRM software. 

∙Strong Communication Skills: Excellent written and verbal communication. 

∙Attention to Detail: Ability to manage multiple tasks while maintaining accuracy. 

∙Time Management: Ability to prioritize tasks and meet deadlines. 

∙Self-Starter: Capable of working independently with minimal supervision.
