As part of our growth strategy, we are seeking a proactive and detail-oriented Executive Assistant (EA) to support our senior leadership in driving strategic initiatives and ensuring efficient day-to-day operations.
Position Summary
The Executive Assistant will play a pivotal role in supporting the senior leadership by managing schedules, coordinating meetings, preparing reports, and overseeing critical administrative tasks. This role requires exceptional organizational skills, discretion, and the ability to multitask in a dynamic environment.
Key Responsibilities
· Manage the Founder’s calendar, including scheduling meetings, appointments, and travel arrangements.
· Organize and prepare agendas, presentations, and meeting materials.
· Maintain an efficient filing system for documents, records, and correspondence.
· Serve as the primary point of contact for internal and external communications on behalf of the Founder.
· Draft and edit emails, memos, and other communications as needed.
· Ensure timely follow-ups and responses to correspondence.
· Schedule and coordinate meetings, conferences, and events.
· Record minutes during meetings and circulate them to relevant stakeholders.
· Monitor the progress of action items and follow up on deadlines.
· Assist in the planning and execution of key projects and strategic initiatives.
· Conduct research and provide summaries to support decision-making.
· Prepare detailed reports and presentations for management.
· Build and maintain positive relationships with internal teams, clients, and external stakeholders.
· Handle sensitive and confidential information with utmost discretion.
· Oversee office supplies, equipment, and administrative processes to ensure smooth operations.
· Liaise with vendors and service providers for office-related needs.
· Conduct web-based research to gather information relevant to business initiatives and strategic planning.
· Coordinate and manage the booking of exhibition stalls at events and expos worldwide, ensuring timely registration and preparation.
· Liaise with event organizers and stakeholders to ensure successful participation in exhibitions.
Qualifications
Education: Bachelor’s degree in Business Administration, Management, or a related field.
Experience: Minimum 2 years of experience as an Executive Assistant or in a similar role.
Skills:
· Excellent written and verbal communication skills.
· Strong organizational and multitasking abilities.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Ability to handle confidential and sensitive information professionally.
