Executive Assistant – HR Ops Coordinator

Location: Mumbai
Experience: 2–4 years in HR coordination / Executive Assistant roles ** preferably in an Architectural/ Design Firm**
Education: Graduate in HR, Communications, Business Admin, or similar
Interior Design Operational Knowledge is a plus
Responsibilities:
• Act as the primary point of coordination for team tasks, meetings, and deliverables
• Handle recruitment coordination (job postings, candidate screening, follow-ups)
• Maintain contracts, NDAs, HR files, and onboarding kits
• Prepare daily/weekly task trackers and team update reports
• Schedule meetings and support founders in project planning
• Ensure team punctuality, communication, and output tracking
• Coordinate between designers, site engineers, and vendors on deliverables
✅ Required:
• Strong organizational and communication skills
• Proficiency in Google Sheets, Docs, and basic project tracking tools
• Clear understanding of team workflows in a creative/studio environment
• Fluent spoken and written English
• Highly reliable, proactive, and detail-oriented
