Customer Service Specialist – Sales Support

Responsibilities:

Customer Support Activities

  • Arrange quotation as per request from BD team
  • Process Purchase orders received from customers and execute the orders
  • Send sales invoice and related documents upon shipment on daily basis

Sales Support

  • Process sales orders accurately and ensure timely follow-up.
  • Assist the sales team with proposal preparation and quote generation.
  • Coordinate with logistics and fulfilment teams to ensure delivery timelines are met.

Reporting & Documentation

  • Maintain open order report and send weekly order summary to seniors
  • Daily shipment report to be sent to seniors
  • Prepare and distribute monthly, and quarterly sales reports.
  • Track KPIs such as lead conversion rates, order status, and customer satisfaction.
  • Support the preparation of business performance reviews and presentations.
  • Identify trends and provide insights to improve sales processes and customer experience.

Administrative Tasks

  • Organize and update internal sales documents and databases.
  • Assist in onboarding new customers or clients.
  • Collaborate with cross-functional teams (marketing, operations, finance) to streamline sales processes.

Expected Qualifications:

  • Bachelor's degree in Business, Marketing, Communications, or related field (preferred).
  • 1–3 years of experience in customer service or sales support roles.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and CRM platforms.
  • Strong communication and interpersonal skills.
  • Excellent time management, problem-solving, and attention to detail.
