Role & Responsibilities

We are seeking a proactive and detail-oriented Talent Onboarding Executive to join our Localization team. In this role, you will be the key liaison between our internal teams and external linguists, ensuring we have access to the right talent at the right cost without compromising on quality or timelines.

You will play a critical role in building and managing a global network of translators, mainly freelancers, while optimizing procurement processes and driving continuous improvement across our localization workflows. You will be starting the onboarding department, lay the foundation and add more onboarding resources as per the business requirements. In the long term, you will be the visionary lead, managing a team of onboarding specialists.

Key Responsibilities:

Freelancer Sourcing & Recruitment

• Identify talent needs in collaboration with project managers or department leads.

• Source qualified freelancers through job boards, platforms (e.g., Linkedin, Upwork, Fiverr, ProZ, etc.), referrals, or databases.

• Evaluate freelancer profiles/resumes and conduct initial screening or skill assessments.

• Maintain a talent pool database segmented by skill, language, domain expertise, availability, etc.

• Develop a virtual onboarding model for remote employees and freelance network

Onboarding Process Management

• Develop and maintain a structured onboarding process for freelancers.

• Share necessary onboarding documents, tools, style guides, and platform access.

• Ensure freelancers understand expectations, project workflows, communication protocols, and timelines.

Contracting & Compliance

• Draft and manage freelance contracts or service agreements.

• Ensure legal and financial compliance, including:

o NDAs

o Tax forms (e.g., W-9, W-8BEN)

o Invoicing procedures

• Track contract expirations and renewals.

Training & Resource Allocation

• Provide freelancers with necessary training or refresher materials.

• Act as a liaison between freelancers and internal teams to clarify project requirements.

Performance Monitoring & Feedback

• Collect feedback from project managers and QA teams.

• Conduct periodic reviews and offer feedback to freelancers.

Relationship & Community Building

• Maintain regular communication with freelancers to ensure engagement.

• Build a healthy freelancer community via newsletters, events, updates, or forums.

• Recognize top performers or long-term contributors with incentives or spotlight opportunities.

Operational Coordination and managerial requirement

• Coordinate assignments between freelancers and internal stakeholders.

• Ensure resource availability for urgent or high-priority projects.

• Handle escalations or disputes professionally and promptly.

Reporting & Analytics

• Generate reports on freelancer utilization, performance, and availability.

• Provide insights to management on talent gaps or resource optimization.

In essence, the Talent Onboarding Manager acts as a bridge between the content localization team and external resources, ensuring access to the right talent at the right cost while maintaining quality and efficiency throughout the localization workflow.

Preferred candidate profile

Talent Onboarding Manager Requirements:


• Bachelors degree in a relevant field (Eg: HR, Linguistics, Communication etc.) is preferred

• Proven experience in vendor management within the content localization or language services industry

• Knowledge of localization processes and tools is beneficial

• Strong negotiation, decision-making, and stakeholder management skills

• Excellent analytical and problem-solving abilities

• Exceptional written and verbal communication skills

• Ability to work in a fast-paced and multicultural environment

• Strong interpersonal and people management skills

• Digital driven and has excellent social media presence and experience

• Prior recruitment experience is preferred, but not mandatory
