Position Overview:

The Executive Assistant (EA) to the CEO will serve as the right hand to the Chief Executive Officer, ensuring smooth functioning of the CEO's office. This role requires exceptional organizational, communication, and multitasking skills to manage executive-level priorities, coordinate with stakeholders, and provide high-quality administrative and strategic support.

Key Responsibilities

1. Executive Support

  • Manage CEO's calendar, meetings, travel, and day-to-day schedule with efficiency.
  • Handle confidential correspondence, documents, and communications.
  • Prepare briefing notes, presentations, and reports for CEO's internal and external engagements.

2. Office & Workflow Management

  • Act as the first point of contact for all matters directed to the CEO's office.
  • Prioritize and filter requests, ensuring CEO's time is spent on high-impact activities.
  • Maintain records, files, and ensure timely follow-ups on tasks and commitments.

3. Coordination & Communication

  • Liaise between the CEO and internal teams, clients, investors, and external stakeholders.
  • Draft emails, official communications, and meeting summaries on behalf of the CEO.
  • Facilitate effective flow of information and alignment across departments.

4. Project & Event Assistance

  • Assist in planning, organizing, and executing CEO-led initiatives, events, and reviews.
  • Support preparation for board meetings, investor meetings, and leadership sessions.
  • Track deadlines, deliverables, and ensure seamless execution of tasks.

Qualifications & Skills

  • Education:
    Graduate / Post-Graduate (MBA/PGDM preferred but not mandatory).
  • Experience:
    3–8 years of experience as an EA / executive coordinator / similar role.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • High degree of professionalism, discretion, and integrity in handling confidential information.
  • Proficiency in MS Office Suite (Word, PowerPoint, Excel) and digital collaboration tools.
  • Ability to remain proactive, resourceful, and adaptable in a fast-paced environment.
