Key responsibilities:

A Personal Assistant (PA) to a Hospital Director must manage complex schedules, coordinate meetings, and handle confidential communication for both internal and external stakeholders. Key responsibilities include managing the director's calendar, preparing reports and correspondence, arranging travel, and acting as a gatekeeper for communications. Excellent verbal and written communication, organizational, and IT skills are essential for success in this role. Key responsibilities

  • Schedule and calendar management: Coordinate and manage the Director's schedule, including meetings, appointments, and travel arrangements.
  • Communication hub: Act as the primary point of contact, handling incoming and outgoing correspondence via email and phone on behalf of the Director.
  • Meeting support: Organize meetings, prepare agendas, take minutes, and follow up on action items.
  • Administrative tasks: Draft reports, presentations, and other documents. Maintain and organize confidential files and records.
  • Travel and events: Arrange all travel logistics, including flights, accommodation, and itineraries. Assist in organizing hospital events and conferences.
  • Confidentiality: Handle sensitive and confidential information with the utmost discretion.

Required skills and qualifications

  • Communication: Exceptional written and verbal communication skills are critical for professional interaction with high-profile individuals.
  • Technical Proficiency: Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) is necessary for preparing documents and presentations.
  • Organization and Time Management: Ability to prioritize tasks, manage time effectively, and maintain impeccable organization.
  • Education and Experience: A bachelor's degree in a related field is often preferred, along with prior experience in an administrative or executive assistant role.
