The Office Assistant - Sales plays a key role in providing administrative support to the sales team. This position is responsible for assisting with the daily sales operations, managing documentation, coordinating meetings, handling customer inquiries, and ensuring smooth communication between the sales team and other departments.
Key Responsibilities:
- Sales Support:
- Assist the sales team in preparing and organizing sales materials, presentations, and reports.
- Coordinate with the sales team to ensure timely follow-up with clients and prospects.
- Assist with order processing and tracking sales leads.
- Maintain and update sales records and databases (CRM systems).
- Customer Communication:
- Act as a point of contact for customers for inquiries, order status updates, and follow-ups.
- Handle and respond to customer queries and requests in a professional and timely manner.
- Prepare and send quotes, proposals, and sales orders as requested by the sales team.
- Administrative Tasks:
- Schedule meetings, appointments, and conferences for the sales team.
- Maintain filing systems (both digital and physical) for sales documents and records.
- Manage correspondence, emails, and phone calls related to sales activities.
- Assist with the preparation and processing of sales contracts and agreements.
- Inventory & Order Management:
- Track sales orders and manage inventory status, ensuring timely delivery of products/services.
- Maintain records of customer purchases and delivery schedules.
- Coordinate with the logistics or supply chain department to ensure product availability.
- Reporting & Documentation:
- Compile and prepare regular sales performance reports and data analysis for the sales team.
- Assist in the preparation of sales forecasts and sales pipeline tracking.
- Maintain accurate and up-to-date sales documentation.
- Sales Team Coordination:
- Ensure smooth communication between the sales team, customers, and other departments (finance, logistics, etc.).
- Assist in organizing sales meetings, events, and trade shows.
- Support the sales team in achieving sales targets and goals.
- Miscellaneous:
- Perform other sales-related administrative tasks as assigned.
- Help maintain a clean and organized sales office.
Required Skills and Qualifications:
- Education: High School Diploma or equivalent
- Experience:
- Previous experience in an administrative or sales support role is preferred (1-2 years).
- Familiarity with CRM software, Microsoft Office Suite (Excel, Word, PowerPoint), and other office productivity tools.
- Skills:
- Strong organizational and time management skills.
- Excellent communication skills (written and verbal).
- Ability to handle multiple tasks and prioritize effectively.
- Attention to detail and accuracy.
- Basic knowledge of sales processes and customer service.
- Ability to work independently and in a team.
- Strong interpersonal skills to interact with customers and sales teams.
Preferred Skills:
- Knowledge of Excel & CRM tools
- Basic understanding of sales techniques and customer relationship management.
- Ability to work in a fast-paced environment and adapt to changing demands.
Working Conditions:
- Office-based position with standard working hours (9:30 AM to 6:30 PM).
- Occasional travel may be required for sales events or client meetings.
