Role Overview :-

We are seeking a highly motivated and experienced Supervisor – Quotation to lead and manage our Quotation Team (QTM). The ideal candidate will possess strong leadership, communication, and analytical skills, along with a proven background in the travel and tourism industry — particularly in destination management, itinerary planning, and pricing.

This role involves overseeing daily quotation operations, managing the team's performance, ensuring high-quality proposals, achieving revenue goals, and maintaining exceptional turnaround time (TAT) standards to meet client expectations.

Key Responsibilities :-

Team Supervision & Leadership

• Manage and supervise the Quotation (QTM) team to ensure smooth daily operations.
• Allocate leads and workload effectively among team members to maintain balance and productivity.
• Monitor team performance, track KPIs, and ensure adherence to conversion and revenue targets.
• Provide regular feedback, coaching, and motivation to enhance team efficiency and morale.
• Foster a collaborative work environment that promotes teamwork, accountability, and excellence.

Quotation Management & Conversion

• Oversee preparation of competitive and accurate quotations for travel itineraries, group bookings, MICE, and FITs.
• Ensure quotations are aligned with market trends, supplier costs, and company profitability goals.
• Maintain high conversion rates by supporting the team in negotiation, proposal presentation, and follow-ups.
• Coordinate closely with the Sales and Operations teams to ensure quotations are converted into confirmed bookings.
• Maintain a strong understanding of destination products, hotel tariffs, excursions, and ground services.

Process Optimization & Quality Control

• Identify process gaps in the quotation cycle and implement effective improvements.
• Monitor TAT (Turnaround Time) and ensure timely responses to all leads and inquiries.
• Maintain a high level of accuracy, consistency, and professionalism in all client communications and documentation.
• Regularly review quotation templates, costing sheets, and pricing models for quality and accuracy.

Target Achievement & Reporting

• Ensure achievement of monthly and annual income and turnover targets for the quotation department.
• Track lead-to-conversion ratios and implement action plans to boost performance.
• Prepare and present regular reports on team productivity, quotation status, and conversion performance to management.
• Coordinate with the finance and operations teams to ensure pricing integrity and profit margins are maintained.

Industry Knowledge & Collaboration

• Stay updated with destination trends, supplier updates, and seasonal pricing changes.
• Collaborate with destination partners, suppliers, and vendors for better rates and exclusive deals.
• Participate in internal meetings to discuss market insights, new destination promotions, and client feedback.
• Support senior management in business development initiatives by sharing quotation trends and client needs.

Qualifications & Skills :-

• Education: Graduate or Postgraduate in Tourism, Hospitality Management, or Business Administration.
• Experience: 5–8 years of experience in Travel & Tourism or Destination Management, with at least 2–3 years in a supervisory or team lead role.
• Strong knowledge of quotation processes, destination pricing, and travel operations.
• Excellent leadership, organizational, and analytical skills.
• Proficiency in MS Excel, CRM systems, and travel ERP/quotation tools.
• Excellent communication and negotiation skills (written and verbal).
• Ability to perform under pressure, meet tight deadlines, and handle multiple priorities.
