This role requires a customer-focused individual who can seamlessly transition between locations, serving as the first point of contact for employees, clients, and visitors while maintaining the highest standards of professional service.Key ResponsibilitiesReception Desk ManagementServe as the primary face of UBS at reception desks across both locationsManage all incoming calls, transferring to appropriate personnel efficientlyGreet and assist employees, clients, and visitors with professionalism and warmthHandle reception desk inquiries and provide accurate information about the organizationMaintain reception area cleanliness, organization, and professional presentationManage reception supplies, equipment, and ensure all systems are operationalMulti-Location OperationsOperate flexibly between Aquila and Centaurus locations as per operational requirementsMaintain consistent service standards and professional protocols across both sitesAdapt to location-specific procedures, contacts, and operational nuancesSupport seamless coordination between front office teams at both locationsEnsure continuity of service during staff rotations and location transitionsVisitor Management & Guest ServicesManage comprehensive visitor registration and check-in processesVerify visitor identities, issue temporary access cards, and maintain visitor logsCoordinate visitor escorts and meeting room arrangementsHandle VIP and executive-level guest reception with enhanced service protocolsManage visitor parking arrangements and facility orientationEnsure compliance with security protocols and access control proceduresCall Management & CommunicationHandle high-volume incoming calls with professionalism and efficiencyRoute calls to appropriate departments and personnel accuratelyTake detailed messages and ensure timely delivery to recipientsManage conference call setups and audio-visual coordination for reception area meetingsHandle directory inquiries and provide accurate contact informationSupport emergency communication procedures and announcementsAdministrative SupportManage meeting room bookings and conference facility reservationsCoordinate courier services, mail distribution, and package managementHandle taxi bookings and transportation arrangements for employees and guestsMaintain visitor databases, contact directories, and reception documentationSupport event management and special occasion arrangementsManage inventory of reception supplies and office amenitiesAccess Control & Security SupportMonitor and manage access control systems and entry proceduresCoordinate with security teams for visitor clearance and access managementHandle lost ID card reports and temporary access arrangementsMonitor CCTV systems and report any security concernsSupport emergency evacuation procedures and safety protocolsMaintain confidentiality and handle sensitive information appropriatelyCustomer Service ExcellenceProvide exceptional customer service to all employees, clients, and visitorsHandle complaints and concerns professionally, escalating when necessaryGather feedback and suggestions to improve front office servicesSupport continuityRequired QualificationsEducation & ExperienceBachelor's degree in any discipline (Commerce, Arts, or Business Administration preferred)2-4 years of experience in front office, reception, or customer service rolesExperience in corporate environment or premium office buildings preferredBackground in hospitality, hotel management, or executive assistance is advantageousPrevious experience
