Overview
We are seeking a highly organized and proactive
Executive Assistant
to support our executive leadership. This role requires a strong blend of technical understanding, strategic thinking, and exceptional communication skills to help streamline operations, improve decision-making, and ensure effective coordination across technical and business functions.
Key ResponsibilitiesExecutive Support
- Manage and optimize the executive's calendar, schedule meetings, coordinate travel, and handle day-to-day administrative tasks.
- Prepare presentations, technical briefs, executive summaries, and meeting documentation.
- Screen, prioritize, and respond to communications on behalf of the executive.
Technical & Analytical Support
- Review engineering and project reports to highlight key insights, risks, and follow-up actions.
- Assist in evaluating technical proposals, project plans, and performance metrics.
- Translate technical information into clear, concise communication for cross-functional teams and non-technical stakeholders.
Project Coordination
- Track milestones, deadlines, and deliverables for engineering initiatives.
- Collaborate with engineering, product, and operations teams to ensure alignment on priorities.
- Drive follow-ups and ensure accountability on action items from leadership meetings.
Communication & Stakeholder Management
- Serve as a trusted liaison between the executive, internal teams, and external partners.
- Draft professional correspondence, reports, and executive-level communication materials.
- Facilitate clear communication flow across departments.
Process Improvement
- Identify inefficiencies in workflows and recommend process enhancements.
- Assist in implementing new tools, systems, and documentation practices to improve team productivity.
QualificationsRequired
- Bachelor's degree in Engineering (Mechanical, Electrical, Software, or related field).
- 2–5+ years of experience as an Executive Assistant/ Founder office
- Strong understanding of engineering concepts and project lifecycle.
- Excellent verbal and written communication skills.
- Exceptional organizational and multitasking abilities.
- Proficiency in productivity tools (Google Workspace, MS Office, project management platforms).
