Role Overview

The Executive Assistant & Founder's Office Executive will work closely with the Founder/CEO to streamline operations, manage priorities, and drive strategic initiatives. This role requires a high level of discretion, business acumen, exceptional communication skills, and the ability to operate in a fast-paced, dynamic environment. The ideal candidate is proactive, organized, and able to anticipate needs before they arise.

Key Responsibilities

  1. Executive Support

Manage the Founder's calendar, appointments, and travel arrangements.

Prioritize and triage emails, communication, and meeting requests.

Prepare briefing documents, presentations, and reports.

Take minutes during meetings and ensure follow-up on action items.

Handle confidential information with absolute integrity.

  1. Founder's Office Operations

Act as a central coordination point between the Founder and internal teams.

Support execution of company-wide initiatives driven by the Founder's office.

Conduct research, analyses, and prepare decision-making memos.

Manage cross-functional projects and track progress on key deliverables.

Create and optimize processes, workflows, and documentation.

  1. Strategic & Project Support

Drive strategic priorities and ensure alignment across departments.

Work with leadership teams to gather data, insights, and status updates.

Support fundraising, investor relations, and board communications (if applicable).

Assist with special projects—product, marketing, HR, or operations—as needed.

  1. Communication & Stakeholder Management

Serve as a liaison between the Founder and internal/external stakeholders.

Draft internal communications, announcements, and emails.

Coordinate with investors, partners, vendors, clients, or government authorities.

Represent the Founder's office in meetings when required.

  1. Administrative & Office Excellence

Manage office logistics, expenses, reimbursements, and documentation.

Ensure smooth execution of events, offsites, and leadership meetings.

Maintain accurate data, dashboards, and archives relevant to the Founder's office.

Required Skills & Qualifications

Bachelor's degree (MBA preferred but not mandatory).

3–8+ years of experience as an EA, Chief of Staff–support role, or Founder's office executive.

Exceptional communication (written and verbal) and interpersonal skills.

Strong organizational and multitasking abilities.

Excellent proficiency in Google Workspace/Office Suite, Notion, Slack, etc.

Ability to handle high-pressure situations with calm and professionalism.

Strong analytical and problem-solving skills.

Trustworthy, detail-oriented, and highly proactive.

Preferred Attributes

Startup or high-growth company experience.

Understanding of business operations, finance, and strategy.

Ability to work flexible hours as per Founder's schedule.

Leadership qualities and ability to operate with minimal supervision.
