Job Summary:
The Executive Assistant (EA) to the Managing Director (MD) will provide high-level administrative support, manage schedules, coordinate meetings, and handle confidential information. The role requires strong organizational skills, attention to detail, and the ability to work under pressure in a fast-paced environment.
Key Responsibilities:
Administrative Support:
- Manage the MDs calendar, schedule meetings, and arrange travel plans.
- Handle correspondence, emails, and phone calls on behalf of the MD.
- Prepare and review documents, reports, presentations, and memos.
- Maintain and organize important files, contracts, and records.
Coordination & Communication:
- Act as the primary point of contact between the MD and internal/external stakeholders.
- Coordinate with different departments to ensure smooth operations and communication.
- Assist in follow-ups on important tasks and projects.
- Manage and coordinate corporate events, board meetings, and conferences.
Project & Strategy Support:
- Conduct research and prepare reports for strategic decision-making.
- Assist in drafting business proposals, agreements, and executive summaries.
- Support in business planning, financial analysis, and operational improvements.
Confidentiality & Professionalism:
- Handle sensitive information with absolute confidentiality.
- Ensure a high level of professionalism in all communications and interactions.
Required Skills & Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field.
- 3-7 years of experience as an Executive Assistant, preferably in a corporate setting.
- Excellent verbal and written communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and scheduling tools.
- Strong time management and multitasking abilities.
- Ability to work independently with minimal supervision.
- High level of discretion, integrity, and professionalism.
Preferred Skills:
- Experience in managing executive-level projects.
- Knowledge of business operations, finance, or legal documentation.
- Ability to work under tight deadlines and adapt to changing priorities.
