Executive Assistant To Managing Director

Role & responsibilities
Departmental Coordination:
Act as a central point of contact between the MD and all internal departments.
- Coordinate and follow up on tasks, deadlines, and updates requested by the MD.
- Ensure smooth flow of information between the MDs office and other departments.
- Schedule and organize inter-departmental meetings, prepare agendas, and document minutes.
Track action items from meetings and ensure timely follow-up.
Communication Support:
Draft, review, and manage internal and external communications on behalf of the MD.
- Respond to emails, letters, and other correspondence professionally and promptly.
- Maintain confidentiality and discretion in handling sensitive information.
Prepare reports, presentations, and summaries as required by the MD.
Computer Knowledge (Basic to Intermediate):
Proficient in MS Office tools (Word, Excel, PowerPoint, Outlook).
- Maintain digital records, shared folders, and ensure proper file management.
- Use collaboration tools (e.g., Microsoft Teams, Zoom, Google Meet) for meetings and follow-ups.
Assist in basic data entry, formatting documents, and creating spreadsheets/reports.
Calendar & Schedule Management:
Manage the MDs calendar efficiently, prioritizing appointments and meetings.
- Organize travel arrangements, accommodations, and itineraries as needed.
Remind the MD of upcoming commitments and deadlines.
Administrative Support:
Maintain proper documentation and filing systems (physical and digital).
- Handle confidential documents and communications with care and integrity.
- Support in preparing and coordinating materials for board meetings, reviews, or special projects.
