Position: Office Executive

Location: Rabale, Navi Mumbai

Experience: 3+ years (Compulsory)

Employment Type: Full-time

Role Overview

The Office Executive will be responsible for managing day-to-day administrative and commercial activities of the office. This includes preparing quotations, responding to client emails, coordinating with internal teams, and maintaining smooth communication with customers. The ideal candidate should be well-organized, proactive, and comfortable interacting with clients both verbally and in writing.

Key Responsibilities

1. Quotation & Documentation

  • Prepare and update quotations, proposals, and commercial offers.
  • Maintain proper records of all quotations, follow-ups, and purchase orders.
  • Assist in preparing technical/commercial documents when required.

2. Client Communication

  • Respond to client emails in a timely and professional manner.
  • Communicate with clients over phone calls regarding inquiries, follow-ups, and order status.
  • Coordinate with the sales team to ensure smooth flow of information to clients.

3. Office Coordination

  • Maintain daily office operations, filing, documentation, and general administration.
  • Coordinate with vendors, suppliers, and internal departments as required.
  • Manage schedules, appointments, and meeting arrangements.

4. Follow-ups & Reporting

  • Follow up with clients for pending inquiries, payments, or documentation.
  • Prepare daily/weekly reports on inquiries, quotations, and order status.
  • Track and update CRM/Excel records regularly.

Skills & Qualifications

  • Graduate in any discipline; business or commerce background preferred.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Strong written and verbal communication skills.
  • Good organizational and multitasking abilities.
  • Ability to work independently and handle client-facing interactions confidently.
  • Prior experience in sales coordination, office administration, or customer service is an advantage.

Joining: Immediate preferred

Job Types: Full-time, Permanent

Pay: ₹20, ₹30,000.00 per month
