Documentation Assistant

The Documentation Assistant will be responsible for managing and preparing all technical documents, certificates, and paperwork required to be sent along with instruments and products. The role ensures accuracy, compliance, and timely submission of documents as per customer requirements and company standards.
Key Responsibilities:
- Prepare and maintain documentation packets for instruments/products such as calibration certificates, test reports, warranty papers, manuals, packing lists, delivery challans, and compliance documents.
- Verify document accuracy, completeness, and alignment with product specifications.
- Coordinate with the Production, QC, and Dispatch teams to collect required data and certificates.
- Ensure all documents are signed, stamped, and formatted as per company guidelines.
- Maintain organized digital and physical records for quick retrieval.
- Share final documents with customers via email along with dispatch details.
- Assist in preparing MIS and daily documentation reports.
- Update templates, document formats, and maintain revision control.
- Support auditors and QC team during inspections by providing required documents.
- Ensure confidentiality and professional handling of all official documents.
Required Skills & Qualifications:
- Graduate (any stream).
- Basic knowledge of MS Office (Word, Excel, PDF tools).
- Good written communication and attention to detail.
- Ability to work with deadlines and coordinate across departments
