**Key Responsibilities**:
- **Schedule Management**:
- Manage the Director's calendar, schedule meetings, and appointments.
- Coordinate travel arrangements, including booking flights, hotels, and transportation.
- Ensure the Director is prepared for upcoming meetings, including preparing agendas and necessary materials.
- **Communication**:
- Serve as the primary point of contact for internal and external stakeholders.
- Handle phone calls and relay important information in a timely manner.
- **Documentation and Reporting**:
- Prepare reports, presentations, and other documents as needed.
- Organize and maintain the Director’s files, both digital and physical.
- Assist in gathering and analyzing data to support decision-making processes.
- **Meeting Coordination**:
- Schedule, coordinate, and organize meetings, ensuring all logistics are handled.
- Take and distribute minutes during meetings.
- Follow up on action items from meetings to ensure completion.
- **Project Support**:
- Assist in the planning and execution of special projects and initiatives.
- Track project timelines and deliverables to ensure on-time completion.
- Assist in research, creating presentations, and compiling necessary information for projects.
- **Confidentiality and Discretion**:
- Handle sensitive and confidential information with discretion.
- Manage confidential documents and ensure privacy is maintained at all times.
- **Administrative Support**:
- Perform other administrative tasks as required, such as preparing documents, handling office supplies, and managing day-to-day operations.
- Assist in organizing and coordinating events and functions as needed.
**Qualifications**:
- **Education**:
- Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
- **Experience**:
- Proven experience as an executive assistant, administrative assistant, or similar role.
- Experience supporting senior management or executives is a plus.
- **Skills and Competencies**:
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Ability to maintain professionalism and confidentiality.
- Strong attention to detail and accuracy.
- Ability to manage time effectively and prioritize tasks.
- Problem-solving and decision-making abilities.
