Role OverviewThe Travel Desk Executive is responsible for managing all travel-related activities for employees and guests, ensuring seamless coordination, cost-effective arrangements, and compliance with company policies. This role demands excellent organizational skills, attention to detail, and a customer-first mindset.
Key Responsibilities
- Coordinate domestic and international travel bookings (flights, hotels, transport)
- Handle visa applications and travel documentation
- Negotiate rates with travel vendors and maintain vendor relationships
- Ensure adherence to company travel policies and budgets
- Provide real-time support for travel changes, cancellations, or emergencies
- Maintain accurate MIS for travel records and expense reports
- Liaise with HR and Finance for approvals and reimbursements
- Update travelers with itinerary details and travel advisories
- Monitor travel trends and suggest improvements to travel processes
Required Skills & Qualifications
- Bachelor's degree in Hospitality, Travel, Business Administration, or related field
- 2+ years of experience in travel coordination or customer service
- Proficiency in travel booking platforms (e.g., Amadeus, Galileo, Sabre)
- Strong communication and negotiation skills
- Ability to multitask and work under pressure
- Familiarity with international travel regulations and visa processes
- High level of confidentiality and professionalism
Preferred Qualifications
- Certification in Travel Management or IATA
- Experience handling executive-level travel (CEO, COO, etc.)
