Role Summary:

The Senior Manager Bids & Proposals will be responsible for leading the end-to-end bid management process, including preparation, coordination, submission, and post-submission follow-ups for RFPs, RFIs, Tenders, Vendor Registrations, Pre-Qualification (PQ) documents, and Commercial proposals. The role requires strong leadership, commercial acumen, process orientation, and the ability to work cross-functionally to ensure high-quality and timely submissions that align with organizational goals.

Key Responsibilities:

  1. RFP/RFI/Tender Coordination and Submission:

  2. Manage and coordinate the entire bid lifecycle, including RFP/RFI/Tender/Vendor information, Pre-Qualification, and Commercial submissions.

  3. Ensure timely preparation and accurate submission of documents as per client requirements and company standards.
  4. Collaborate with internal teams (Operations, Finance, Legal, HR, etc.) to gather necessary inputs and approvals.

  5. Team Leadership and Development:

  6. Lead, mentor, and train the Bids & Proposals team to ensure efficiency and accuracy in all commercial preparations.

  7. Foster a culture of continuous learning, accountability, and performance excellence within the team.

  8. Client and Site Visits:

  9. Conduct client and property visits when required to gain a deeper understanding of project requirements and commercial implications.

  10. Collaborate with on-site teams to ensure accurate cost estimations and feasibility analysis.

  11. Commercial Analysis and Validation:

  12. Review and analyze commercial proposals, ensuring accuracy and alignment with company policies before submission for senior management approval.

  13. Identify potential risks, cost implications, and value propositions to enhance proposal competitiveness.

  14. MIS and Database Management:

  15. Maintain and update all bid-related data, trackers, and management information systems (MIS) as per departmental requirements.

  16. Ensure systematic record-keeping and easy retrieval of historical data for reference and audits.

  17. Process Compliance:

  18. Adhere strictly to organizational policies, internal approval hierarchies, and process compliance requirements.

  19. Ensure that all proposals and submissions meet legal, commercial, and operational standards.

  20. Integrity and Confidentiality:

  21. Maintain the highest standards of integrity and confidentiality in handling sensitive commercial and client information.

  22. Ensure data security and compliance with company's code of conduct.

  23. Time Management and Flexibility:

  24. Demonstrate strong time management skills and flexibility to manage multiple deadlines and priorities.

  25. Ensure work completion within defined timelines while maintaining accuracy and quality.

  26. Continuous Improvement and Additional Responsibilities:

  27. Proactively identify areas for process improvement and contribute to departmental efficiency.

  28. Be open to self-development and accept additional responsibilities as assigned by senior management.
