Job Summary
We are seeking a highly organized and experienced
Senior Admin Executive
to oversee and manage the day-to-day administrative operations of our manufacturing facility. The ideal candidate will have a solid background in administrative functions within a manufacturing or industrial environment, excellent communication skills, and the ability to multitask in a fast-paced setting. This role is critical in ensuring smooth plant operations, compliance with company policies, and support across various departments.
Key Responsibilities
Administrative Operations:
- Manage daily administrative activities including office supplies, facility management, and vendor coordination.
- Supervise support staff (e.g., office assistants, housekeeping, security, drivers).
- Maintain and ensure smooth operation of office infrastructure, utilities, and maintenance schedules.
Facility & Asset Management
- Oversee upkeep and maintenance of manufacturing premises, canteen, and utility areas.
- Maintain inventory of company assets and ensure timely servicing and AMC (Annual Maintenance Contracts).
- Coordinate with facility contractors and service providers for necessary upkeep.
Compliance & Documentation
- Ensure compliance with statutory, environmental, and safety regulations applicable to administrative operations.
- Maintain proper documentation for licenses, permits, audits, and administrative SOPs.
Vendor & Contract Management
- Manage vendor relationships for housekeeping, catering, transportation, security, etc.
- Negotiate contracts and ensure service-level agreements (SLAs) are met.
Transport & Logistics Support
- Manage employee transport and ensure vehicle upkeep.
- Coordinate logistics for internal movement of materials or official travel.
Budgeting & Cost Control
- Assist in preparing administrative budgets and monitor expenditure.
- Identify cost-saving opportunities while maintaining quality of services.
Employee Support & Communication
- Facilitate onboarding logistics for new employees (workstations, ID cards, etc.).
- Coordinate internal events, meetings, and employee engagement activities.
Requirements
Education:
- Bachelor's degree in Business Administration, Management, or related field.
- Additional certifications in Facilities Management or Industrial Administration is a plus.
Experience
- 5+ years of relevant experience in administration, preferably in a manufacturing or industrial environment.
- Proven experience in managing a team and handling plant-level admin operations.
