Location: New Delhi
Department: Administration / Executive Office
Reports To: Managing Director / CEO / Senior Leadership
Job Summary:
The Executive Assistant will provide comprehensive administrative and operational support to senior management, ensuring smooth day-to-day functioning of the executive office. The ideal candidate should be proactive, organized, and capable of handling multiple priorities while maintaining professionalism and confidentiality at all times.
Key Responsibilities:
- Manage and maintain the executive's calendar, appointments, and travel schedules.
- Coordinate internal and external meetings, prepare agendas, and record minutes.
- Handle correspondence, emails, reports, and presentations with accuracy and discretion.
- Act as the primary point of contact between the executive and internal teams or external stakeholders.
- Monitor pending tasks, follow up on deliverables, and ensure timely completion of commitments.
- Organize and maintain digital and physical filing systems.
- Coordinate travel arrangements, hotel bookings, and itinerary planning.
- Prepare and track expense reports, reimbursements, and other administrative documentation.
- Conduct research and compile information to support executive decision-making.
- Support the execution of special projects, meetings, and organizational initiatives as needed.
Qualifications & Skills:
- Bachelor's degree in Business Administration, Management, or related field.
- 2–5 years of experience as an Executive Assistant or in a similar administrative role.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities with attention to detail.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive and confidential information with discretion.
- Strong interpersonal skills and a professional demeanor.
- Proactive, reliable, and adaptable to changing priorities.
Preferred Attributes:
- Prior experience supporting C-level executives or senior leadership.
- Exposure to a fast-paced corporate or healthcare environment.
- Familiarity with digital collaboration tools (Google Workspace, Slack, Asana, Trello, etc.).
