Inviting applications for the role of Manager - Contract Management

In this role, you will be responsible to demonstrate innovation and intuition in identifying areas requiring operational adaptation and/or improvement Active user of Internet and online applications. You will be leading team to help service agents in collating the information that they will provide you over the call, the information that they will save in system will be used as input for billing purposes.

Responsibilities

• Ability to comprehend and communicate effectively with the customers (written & verbal)

• Take Customer calls and provide a resolution to their Queries.

• Managing day to day volume, segregation within the team.

• Reporting of KPI and CPQ, daily calls with customers on bowlers.

• Creating Purchase requisition in country Specific module (RACES / SSS).

• Supplier invoice management.

• New Supplier Setup/activation.

• Continuously review and adjust PO in close contact with Service site jobs to ensure data quality.

• Managing purchase backlog call with regional manager & Finance contact.

• Articulate calls inputs from Service agents to share for billing requirements.

• Ensure correct inputs are done for billing details alignment of Headcount.

• Coordinating with billing team for any invoice generation

• Review & track the restructuring cost. Manager reviews with Sites.

• Prepare Dashboards & Reports for pitches.

• Should be willing to work overtime and work on weekends.

• Ability to apply knowledge to real world scenarios.

• Strong work ethic displays the drive to learn new features or troubleshoot methods for their primary application.

• Support on Ad-hoc reports & Quarter Closing Activities

• Responsible for creation & maintenance of contracts

• Responsible for Maintenance of contracts for updating term, value, closure, Business Owner update etc.

• Regular Connect with business or client for getting resolution on in progress & closed tasks.

• Finding process gap & suggesting continuous improvements from system & process perspective to streamline operations.

• Complete Contract amendments as required in accordance with SOP's or client requirements.

• Review of contracts to ensure all details are updated by business are in alignment with the documents and relevant procurement policies

• Identify and implement Productivity and Quality improvement ideas

• Hands on experience of working on Procurement modules in any ERP, preferably Ariba, Coupa or Oracle

• Domain knowledge of Contract management, contract clauses etc.

• Managing contract team mailbox and responding to all queries related to contracts within the specifies SLA

• Draft Sign Off documentation & performing due diligence of contract record & work orders.

• Performing data extraction & Spend Reporting

• Providing support in sourcing project & event creation in Ariba /Coupa or Oracle

• Drafting Conflict of interest forms management & execution in Ariba

• Performing Supplier Novation & conducting supplier profiling

• Drafting Variation Agreement & RFx Response Comparison

• Delivering as per agreed SLA's & quality parameters.

• Improving quality of operations by doing auditing of contracts and sharing summary with stakeholders

• Prioritize requirement on ad hoc analysis & provide regular status update for bulk requests to requestors as per timelines.

• Finding process gap & suggesting continuous improvements from system & process perspective to streamline operations.

• Validation of all reports & ensuring that monthly as well as weekly pack are published on time with accuracy.

• Creation of Monthly/Quarterly dashboards as per timelines

• Exposure to project management, strategic Souring, end to end cycle of procurement, identification of opportunities in cost savings & delivering value delivery

• Assisting in providing sourcing support in terms of performing techno commercial comparison, drafting RFx documentation & validation of responses
Reporting

· Doing overview of all reports as per due date.
· Closely monitoring workflow tool & coordinate frequently with business or operational team while responding queries
· Ensuring all new contracts in queue should be actioned proactively
· Ensure that all queries are responded & actioned with timelines.
· Ensure effective workflow management in terms of contracts are actioned & follow ups done on time.
Project deliverables

· Implement improvement measures to improve performance in terms of reduction of errors & quality of operations.
· Lead specific Improvement initiatives (for instance these may relate to new process to be transitioned & current capacity optimization)
· To identify and deliver Value Engineering projects which remove cost from our process that are not-value added activities
· Develop strong supplier engagement and relationships with key suppliers which aim to provide competitive advantages
o Lead on specific Improvement initiatives (for instance these may relate to new process optimization, New Capacity optimization
o Collaborates across and within teams and build strong relationships with external and internal customers to match the right solution to each customer's needs – placing the customer at the heart of decisions.
Knowledge
·
· Working knowledge of Contract Clauses and contract management Preferred
· Working knowledge of strategic sourcing, Supplier Management, Value Chain best practices/techniques (Required)
· Knowledge of buying/hedging commodity materials/ Running e-RFI/RFQ or auctions (Good to have)
· Category expertise in the indirect sourcing
· Experience in Australia Market will be an added advantage

Minimum Qualifications
· Experienced in a multi-site Procurement role. BFSI (Preferred)
· Good understanding of transformation initiatives in Procurement and spend optimization programs such as Zero-Based Budgeting
· Bachelor university degree, master's degree, Tier 1 Business Schools Preferred

• Excellent Oral and Written English Communication Skills.

• Open to work in 24*7 window and rotational shifts

• Proficiency in Excel & PowerPoint.

• Ability to learn quickly, think independently, and develop new processes/analyses as required.

Preferred Qualifications

• Relevant years of support or experience with client contact

• Knowledge of Data acumen is a big advantage.
· Knowledge using BI tools is an added advantageStrong numeracy and analytical skills (Required)
· Excellent communication skills – influencing, presentation, negotiating (Required)
· Good planning, ability to manage many concurrent tasks with differing timelines and deliverables, Time management and organisational skills (Required)
