Job Title: Front Office Executive
Job Summary:
The Front Office Executive serves as the first point of contact for students, parents, visitors, and staff, ensuring a welcoming and professional atmosphere at the school. The role involves managing front office operations, handling inquiries, coordinating with departments, and maintaining records while upholding the school's values and standards.
Key Responsibilities:
Front Desk Management: Greet and assist students, parents, and visitors in a friendly and professional manner. Ensure a clean, organized, and inviting front office space.
Communication: Handle incoming and outgoing calls, emails, and correspondence.
Address inquiries from parents and visitors or route them to appropriate personnel.
Maintain effective communication between departments and with external stakeholders.
Administrative Support: Schedule appointments and manage meeting calendars for the Principal or other staff. Maintain and update student and staff records in coordination with the administrative team.
Visitor Management: Maintain a visitor logbook and issue visitor passes.
Ensure that visitors comply with school policies and safety procedures.
Admission Assistance: Provide initial information to prospective parents about admission procedures. Coordinate with the admissions team for documentation and follow-ups.
Complaint and Feedback Handling: Record and escalate any complaints or feedback from parents or students to the relevant department. Follow up to ensure timely resolution.
Inventory and Supplies Management:
Monitor and request office supplies and stationery as needed.
Ensure the availability of necessary materials for daily operations.
Qualifications and Skills:
Educational Qualification: Bachelor's degree or equivalent.
Experience: Prior experience in front office management or a similar role (preferably in an educational setting).
Skills:
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Proficiency in MS Office (Word, Excel, PowerPoint) and basic computer applications.
Ability to handle confidential information with discretion.
Customer service orientation with a problem-solving mindset.
Personal Attributes:
Polite, professional, and approachable demeaner.
High level of patience and empathy, especially when dealing with students and parents.
Ability to work under pressure and manage time effectively.
