Job Title: Manager -Procurement - Property & Facilities Management (Malls)

Job Summary:

The Manager -Procurement Property & Facilities Management will lead and oversee the end-to-end procurement activities across a portfolio of malls. This role ensures strategic sourcing, cost-effective purchasing, vendor management, and contract negotiations for all property management and facilities-related requirements, including maintenance, repairs, security, cleaning, energy, capex works, asset upgradation and fit-outs etc. The ideal candidate brings deep knowledge of mall operations, strong vendor networks, and the ability to drive value through effective procurement strategies.

Key Responsibilities:

Strategic Procurement & Sourcing

  • Develop and implement procurement strategies aligned with mall operations and business goals.
  • Lead sourcing initiatives for FM services (MEP, housekeeping, and security), equipment, utilities, AMC contracts, and project-based requirements (renovation, fit-outs, etc.).
  • Conduct market research and benchmarking to identify best-in-class suppliers and innovations in FM services.

Vendor & Contract Management

  • Build and manage a network of reliable, compliant vendors across relevant service categories.
  • Negotiate and manage service-level agreements (SLAs), performance metrics, warranties, and penalties.
  • Monitor supplier performance through KPIs, audits, and feedback from property teams.

Cost Optimization & Budget Control

  • Develop annual procurement budgets for mall operations and capex projects.
  • Identify and drive cost-saving opportunities without compromising service quality or compliance.
  • Track procurement expenditures, ensure adherence to budgets, and produce regular spend reports.

Policy, Compliance & Risk Management

  • Ensure procurement practices comply with legal, regulatory, and internal governance standards.
  • Standardize contracts and procurement processes across the mall portfolio.
  • Mitigate risk through thorough due diligence, insurance verifications, and compliance tracking.

Operations and Maintenance Procurement

  • Support property management and facilities teams in procuring materials and services for:

  • HVAC, elevators, fire safety, plumbing, lighting, and energy efficiency projects.

  • Capex and minor renovation works across tenant and common areas.

  • Coordinate with technical, operations and Food court team to define specifications and timelines.

  • Finalize AMCs at enterprise level. Negotiating well in the procurement of consumables and services and finalize the rate card based on the consumption pattern.
  • Release annual POs for Fixed procurement.

Cross-Functional Collaboration

  • Work closely with mall management, finance, technical teams and legal for seamless procurement execution.
  • Serve as a key decision-maker in procurement planning for major refurbishments.

Key Requirements:

Education:

  • Degree/Diploma in Electrical or Mechanical engineering or bachelors degree in supply chain, Business administration, commerce or related field.

Experience:

  • 10+ years of procurement experience, with at least 5 years managing procurement for Mall or large commercial property operations.
  • Strong Vendor base in North India and knowledge of FM categories and contract negotiation.

Skills:

  • Excellent negotiation, communication, and stakeholder management skills.
  • Familiarity with procurement systems (SAP, etc.).
  • Strategic thinking with hands-on execution ability.
  • Strong financial acumen and analytical skills.
