Position Overview:
Arul Agro Agencies is seeking a highly organized and hands-on Administrative Manager to oversee our daily office and operational administration. This role is crucial to ensuring our agricultural supplies business runs smoothly and efficiently. You will be the backbone of our operations, managing everything from office procedures to supporting our field team and customers.
Key Responsibilities:
Office & Operational Management:
- Manage all daily office operations, ensuring a clean, organized, and efficient work environment.
- Maintain and organize important business documents, including invoices, purchase orders, delivery challans, and client records.
- Coordinate with suppliers and vendors, process orders for office supplies, and manage inventory of essential materials.
- Serve as the primary point of contact for facility management, utilities, and office equipment maintenance.
Customer & Vendor Relations:
- Provide professional and prompt communication with clients and vendors, both in person and over the phone.
- Assist in resolving customer inquiries and coordinating with the sales or logistics team to ensure customer satisfaction.
- Maintain positive relationships with key suppliers and service providers.
Financial Administration:
- Assist in basic bookkeeping tasks: processing invoices, managing accounts payable/receivable, and preparing daily/weekly transaction reports.
- Handle petty cash management and prepare expense reports for management approval.
- Support the management in preparing financial summaries and tracking operational expenses.
Team Coordination & Support:
- Provide strong administrative support to the management and field staff.
- Potentially supervise and train junior administrative staff or office assistants.
- Organize logistics for meetings and business travel if needed.
Qualifications & Skills:
- Proven experience (3+ years) in an Office Manager, Administrative Manager, or Senior Admin role. Experience in trading, distribution, or the agricultural sector is a strong plus.
- Strong knowledge of office management procedures and basic accounting principles.
- Excellent proficiency in MS Office (Word, Excel for spreadsheets) and Tally accounting software is highly preferred.
- Outstanding communication and interpersonal skills in English and Tamil.
- Exceptional organizational and time-management skills with a keen eye for detail.
- Ability to work independently, solve problems proactively, and handle multiple tasks in a dynamic environment.
- High level of honesty, integrity, and discretion.
