The Tender Executive is responsible for identifying, evaluating, preparing, and submitting tenders or bids for government and private sector projects. The role requires coordination with internal departments and external agencies to ensure timely and compliant tender submissions, documentation accuracy, and post-tender follow-ups.
Key Responsibilities:1. Tender Identification & Tracking
- Regularly monitor government and private procurement portals (e.g., GeM, CPP, E-Procurement sites) for new tenders.
- Analyze tender notifications, corrigenda, and pre-bid clarifications.
- Evaluate tender eligibility criteria, terms, and conditions.
2. Tender Preparation & Submission
- Collect and compile required documents like authorization letters, certificates, price bids, technical bids, etc.
- Coordinate with OEMs, partners, or internal departments for technical and commercial inputs.
- Prepare and upload bids on e-portals or submit physical bids before deadlines.
- Ensure all documents are accurate, signed, stamped, and formatted as per tender requirements.3. Documentation Management
- Maintain a comprehensive record of all tenders (submitted, won, and lost).
4. Coordination & Communication
- Liaise with clients, consultants, and government authorities for tender clarifications.
- Coordinate internally with accounts, legal, technical, and logistics teams for bid requirements.
- Attend pre-bid meetings and record key points and clarifications.
- Keep track of EMDs, bank guarantees, and related financial documents.
5. Post-Tender Activities
- Follow up on tender results and bid status.
- Support negotiations and contract signing if tender is awarded.
- Prepare MIS reports on tender performance and success ratios.
- Update vendor registrations, product certifications, and company profiles on e-portals.
