Job Title: Office Staff – Assistant (Accounts & Administration)

Job Summary:

The Office Staff will support the smooth day-to-day operations of the school by assisting in accounting, clerical, and administrative duties. This role also involves coordination of fieldwork, errands, and liaison activities related to school operations.

Key Responsibilities:

A. Accounting & Finance Support

  • Assist in maintaining daily accounts, ledgers, and petty cash records.
  • Support the preparation of vouchers, invoices, receipts, and payment statements.
  • Assist in collecting fees, issuing receipts, and maintaining accurate fee records.
  • Coordinate with the accountant/auditor for financial reports and documentation.
  • Ensure proper filing of financial documents and bills.

B. Office Administration

  • Handle phone calls, emails, and correspondence professionally.
  • Maintain staff and student records, attendance registers, and files.
  • Support the preparation of official letters, circulars, and notices.
  • Manage office supplies and ensure smooth functioning of office equipment.
  • Coordinate communication between departments and with external agencies.

C. Field & Liaison Work

  • Visit banks, education offices, or vendors for official school work.
  • Assist in procurement of materials, books, and supplies as per school needs.
  • Support logistics for events, transportation, and maintenance work.
  • Ensure proper documentation and updates from field visits.

D. General Support

  • Assist the Director, Principal, or administrative head in daily operations.
  • Support in admissions, data entry, and school event coordination.
  • Maintain confidentiality and uphold the school's values and professionalism.

Required Qualifications & Skills:

  • Bachelor's degree in Commerce, Business Administration, or related field preferred.
  • Basic knowledge of accounting and computer applications (MS Office, Excel, Tally).
  • Strong communication and organizational skills.
  • Ability to multitask and handle office and field responsibilities efficiently.
  • Two-wheeler license preferred (for field duties).
