We are seeking a highly organized, discreet, and proactive Personal Secretary to provide comprehensive administrative and personal support to [Executive Name or Title]. The ideal candidate will manage schedules, coordinate meetings, handle correspondence, and ensure the smooth functioning of day-to-day operations, both professional and personal.
Key Responsibilities:
Administrative Support:
- Manage calendars, appointments, and meetings.
- Prepare agendas, take minutes, and follow up on action items.
- Draft, proofread, and manage emails, letters, and other correspondence.
- Maintain files, records, and documents (physical and digital).
Travel & Logistics:
- Organize domestic and international travel including visas, tickets, accommodations, and itineraries.
- Handle logistics for meetings, events, and conferences.
Personal Assistance:
- Manage personal errands and appointments as required.
- Handle confidential information with discretion and integrity.
- Coordinate with household staff or service providers if applicable.
Communication & Liaison:
- Act as a point of contact between the executive and internal/external stakeholders.
- Screen phone calls and prioritize messages.
Task & Project Management:
- Track deadlines, prioritize tasks, and ensure timely follow-up.
- Assist in preparing reports, presentations, and spreadsheets.
Requirements:
- Proven experience as a Personal Secretary, Executive Assistant, or similar role.
- Excellent written and verbal communication skills.
- Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational and time management skills.
- Ability to multitask and work under pressure.
- High level of discretion and confidentiality.
