An event zonal coordinator plans, organizes, and executes events within a specific geographical area, managing all logistics like venue selection, vendor coordination, and budget tracking. They also oversee on-site execution, handle staffing, and resolve issues to ensure the event's success and the client's satisfaction. Key responsibilities include developing event themes, managing promotional activities, ensuring on-site flow, and performing post-event analysis. Responsibilities

  • Event planning and concept development: Meet with clients to understand their needs, develop event themes, and define the scope.
  • Budget management: Create and manage event budgets, track expenses, and ensure vendors adhere to the allocated costs.
  • Logistics and vendor management: Secure venues, arrange catering, A/V, transportation, and decorations, and negotiate contracts with vendors and suppliers.
  • On-site management: Supervise event staff and volunteers, manage registration and seating, coordinate the event program, and ensure smooth execution from setup to breakdown.
  • Problem-solving: Handle last-minute issues and emergencies on-site and in the planning phase.
  • Marketing and promotion: Collaborate with marketing teams to develop promotional strategies and manage publicity through channels like social media and ticket sales.
  • Post-event activities: Oversee cleanup, gather client and guest feedback, and prepare post-event reports on successes and areas for improvement.
  • Reporting: Analyze and present data related to program progress and event outcomes.
