About the role

The role Licensing & Contracts Expert is responsible for providing day to day support to the Licensing & Contracts Lead for activities across the assigned product towers ensuring that our Contracts maintained, up to date and licenses are used within the terms and conditions of the vendor User Agreements so that we remain compliant with the terms and conditions.

The candidate must have some experience in a Software Asset Management role or similar in a large organization with relevant certification(s). You will have good analytical skills and highly organized with a structured approach. The ability to produce high level reports using data from various sources that contain purchasing, licensing, and compliance information. The candidate must also have demonstrable multi-tasking when handling multiple work assignments.

The candidate will have a good understanding of software licensing types, terms and conditions of use including to include End User License Agreements to ensure that the Haleon remains software compliant. Experience in liaising with external parties such as vendors and knowledge of Configuration Management Databases and Configuration Items within a service management tool.

The candidate will have experience in the implementation of SAM tools, processes, and procedures.

Key responsibilities
  • Maintaining a central inventory of all software licenses including maintenance agreements; ensuring they are owned properly within Enterprise Applications.
  • Ensuring the software catalogue is current and updated when required.
  • Ensuring all centrally managed software licences are valid, distributed to those entitled, re-harvested and used within the vendors terms and conditions.
  • Subject matter expertise (SME) in the software management, leading pro-active reviews of Software usage, remediating any issues identified regarding compliance with license entitlements.
  • Validating license quantities and costs meet the needs of the customer(s) and Haleon.
  • The annual renewal of ~75 software contracts (value ~40m p/a), ensuring the right licensing is renewed to avoid introducing non-compliance and reputational risk to the estate.
  • Ensuring cost efficiencies are realised during renewal or new purchase processes and providing supporting license usage reports to support decisions. Ensuring invoices are paid for all software bought for Enterprise Applications or on behalf of customers.
  • Managing all external software Audits that have been invoked by the vendor. This work includes agreeing the scope of the Audit with the vendors, gathering the requested information from across the relevant systems, and managing the interaction with the vendor auditors.
Qualifications and skills

Minimum of 5-7 years experience in a combination of:

  • Software or Hardware Asset Management
  • Risk Management
  • Quality Assurance or Compliance function in a Pharmaceutical/Consumer Healthcare environment.
  • Knowledge of Tech support processes, such as ITIL
  • Proven experience in effective cost management strategies, tools, models, and processes. As well as capability to design and implement consumption driven cost solutions (including cost management and optimisation).
  • Strong numerical / analytical skills with the ability to gather, analyse and interpret significant amounts of information accurately.
  • Excellent communication skills and ability to effectively convey complex ideas tailored appropriately to the audience.
  • Solid understanding of the key drivers, concepts, and language that Finance, Procurement, Service Management and Technology teams use day-to-day.
  • Experience with using SAM management tools and data analysis using Excel or advanced analysis tools (e.g., Power BI) to drive actionable insights for customers and senior stakeholders.
