
Executive Assistant

We are seeking a highly organized and proactive Executive Assistant to support the Director of Marketing in day-to-day operations, coordination, and follow-ups. The role involves managing communication, ensuring timely execution of marketing initiatives, and acting as a key point of contact for both internal and external stakeholders.
Key Responsibilities
- Administrative Support: Manage the Director's calendar, schedule meetings, coordinate travel, and prepare documents/presentations.
- Follow-Ups: Track all pending tasks, client communications, and internal deliverables; ensure timely follow-ups with the marketing team, sales team, and external partners.
- Communication Management: Draft, review, and send professional emails, reminders, and reports on behalf of the Director.
- Coordination: Liaise with internal teams (sales, operations, design, R&D) to align on marketing initiatives and progress.
- Reporting: Maintain trackers for campaigns, leads, and marketing KPIs; prepare weekly/monthly status updates.
- Documentation: Organize contracts, proposals, client decks, and maintain digital filing systems.
- Market Support: Assist with research on competitors, campaigns, and industry trends to support decision-making.
- Confidentiality: Handle sensitive information with the highest level of discretion.
Skills & Qualifications
- Bachelor's degree in Business Administration, Marketing, or related field.
- 2–4 years of experience as an Executive Assistant, Marketing Coordinator, or similar role.
- Strong communication skills (written and verbal).
- Proficiency in MS Office / Google Workspace (Excel, PowerPoint, Docs, Sheets).
- Knowledge of CRM tools (Zoho, HubSpot, or similar) is an advantage.
- Excellent organizational and multitasking abilities.
- Self-motivated, proactive, and detail-oriented.
