Role Overview:

  • We are looking for a detail-oriented and proactive Export Documentation, Operations & Admin Executive to handle export documentation, logistics coordination, and day-to-day administrative operations
  • The ideal candidate will have prior experience in export procedures, documentation compliance, and administrative support for smooth business operations

Key Responsibilities:

  • Prepare, verify, and manage all export documents including invoices, packing lists, shipping bills, and certificates of origin
  • Coordinate with freight forwarders, CHA, and transporters for smooth shipment execution
  • Ensure compliance with export regulations, customs, and DGFT requirements
  • Track and manage shipment timelines, documentation status, and delivery schedules
  • Maintain records of export documentation, invoices, and correspondence
  • Liaise with internal teams and overseas clients for dispatch schedules and documentation queries
  • Coordinate with production and warehouse teams for export packing and dispatch
  • Monitor shipment movement and communicate status updates to relevant stakeholders
  • Manage documentation for courier and logistics vendors, ensuring timely billing and reconciliation
  • Support other teams in documentation, courier dispatches, and vendor management
  • Manage purchase of office supplies and operational materials

Qualifications & Skills:

  • Bachelors degree in Commerce / Business Administration / or equivalent
  • 2-5 years of experience in export documentation and operations
  • Good understanding of export procedures, LC documentation, and coordination
  • Strong communication and organizational skills
  • Proficient in MS Office (Excel, Word, Outlook)
  • Ability to multitask, meet deadlines, and work independently
